Invoice Management System

A connected view of supplier invoices, customer invoices, and payment deadlines.

The challenge

Where the process needs structure.

Vendor invoices arrive in email while outgoing invoices are maintained separately. Without a consistent process, duplicate records, missed approvals, and approaching deadlines become harder to spot.

How the system works.

  1. Capture supplier invoices. Check incoming emails for invoice attachments, extract their contents, and structure the details needed for processing.
  2. Check the record before saving. Send incomplete invoice details for manual review and check for an existing invoice before creating a new record.
  3. Route the approval. Send higher-value invoices through an approval path so finance can see which items need sign-off.
  4. Record outgoing invoices. Support accounts receivable with an outgoing invoice workflow and a central record in Supabase.
  5. Monitor due dates. Use a separate monitoring workflow for reminders and overdue visibility, with a dashboard bringing the invoice position together.
